The following terms explain our standard ordering process. Product specifications, prices, payment arrangements, production schedules, and delivery terms are confirmed separately for each order.
Please send us an inquiry with the product name, model, required quantity, destination country, and intended application. For laboratory equipment such as autoclaves, balances, centrifuges, freezers, fume hoods, incubators, microscopes, ovens, refrigerators, spectrometers, and water baths, please also provide the required capacity, operating range, voltage, frequency, plug type, and any relevant technical parameters.
For laboratory consumables, glassware, nylon cable ties, stainless steel cable ties, and wiring accessories, please specify dimensions, materials, colors, performance requirements, packaging preferences, and quantities. Drawings, photographs, technical data sheets, or reference samples may be submitted when they are necessary to identify the correct product.
Our team will review the inquiry and confirm whether the requested model and configuration are suitable. If additional information is required, we may ask for drawings, samples, installation conditions, application details, or local electrical requirements before preparing an offer.
Customization may be available depending on the product type, order quantity, technical feasibility, and applicable requirements. Freight charges, insurance, import duties, taxes, customs clearance fees, destination handling charges, and installation expenses are included only when clearly stated in the quotation. If order details, quantities, exchange conditions, material costs, or shipping requirements change, the quotation may need to be revised.
Samples may be available for certain products and are subject to product availability, sample cost, customization requirements, and shipping arrangements. Laboratory equipment or large products may require a technical evaluation, detailed documentation, photographs, videos, or other confirmation methods instead of a physical sample.
Sample approval does not replace the need to confirm the final order specifications. Differences resulting from approved production methods, materials, or reasonable manufacturing tolerances will be addressed according to the agreed product requirements.
An order is considered confirmed after both parties have approved the relevant commercial and technical details and the agreed payment requirement has been completed. Depending on the transaction, confirmation documents may include a quotation, proforma invoice, purchase order, specification sheet, drawing, artwork, packing requirement, or sales contract.

Available payment methods and payment schedules depend on the order value, product type, customization level, destination, and commercial agreement. The applicable bank details, currency, payment deadline, and other conditions will be stated in the quotation, proforma invoice, or contract.
Customers should use only the payment information shown on official order documents issued by Rensino Lab Instrument Co., Ltd. If payment instructions appear to change, please verify them directly with our authorized contact before transferring funds. Bank charges and intermediary fees are handled according to the confirmed order terms.
Production, document release, or shipment will be arranged according to the payment status and conditions agreed for the specific order.
Production or order preparation begins after the required specifications, commercial documents, and payment conditions have been confirmed. The estimated lead time depends on product availability, order quantity, customization, material supply, testing requirements, and other order details.
We will communicate relevant order updates when necessary. For customized products, customers may be asked to approve drawings, labels, packaging layouts, or other production details. Delays in approval or changes to confirmed requirements may affect the production schedule.
Products are checked against the confirmed order information before packing. Inspection procedures vary by product and may include appearance, quantity, dimensions, configuration, function, accessories, labels, and packaging. If third-party inspection is required, the scope, schedule, standards, and related costs must be agreed in advance.
Products are packed according to their size, weight, material, fragility, transportation method, and destination. Laboratory glassware, precision instruments, large equipment, consumables, and cable management products may require different packing methods. Any special requirements for pallets, wooden cases, carton markings, barcodes, neutral packing, or customer-branded packaging should be provided before order confirmation.
Commercial invoices, packing lists, transport documents, and other agreed paperwork will be prepared based on the confirmed order. Requests for special declarations, certificates, legalized documents, or destination-specific paperwork must be submitted in advance and may involve additional time or cost.
Orders may be shipped by courier, air freight, sea freight, rail, or another agreed method, depending on product characteristics, shipment size, destination, urgency, and customer preference. The applicable Incoterm, shipping responsibility, freight charge, and insurance arrangement will be stated in the order documents.
Any delivery date provided before shipment is an estimate unless otherwise agreed in writing. Transit time may be affected by carrier schedules, customs procedures, weather, port conditions, destination regulations, or other circumstances outside the seller’s direct control.
The customer is responsible for providing accurate consignee and contact information. Unless otherwise agreed, the customer is also responsible for destination import procedures, permits, duties, taxes, and local compliance requirements. Tracking details or shipping documents will be provided when available under the confirmed delivery arrangement.
Customers should inspect the shipment promptly upon arrival. Before signing for visibly damaged packages, note the damage on the carrier’s receipt where possible and retain the original packaging. Any shortage, transport damage, incorrect item, or apparent product issue should be reported promptly with the order number, product model, quantity, photographs, videos, packaging labels, and a clear description of the issue.
Do not discard damaged products, cartons, crates, labels, or accessories until the issue has been reviewed. These materials may be required for carrier claims or technical assessment.
Cancellation and return requests are reviewed according to the product type, order status, customization, condition of the goods, and confirmed transaction terms. Customized, specially configured, branded, or made-to-order products may not be eligible for cancellation or return after production or material preparation has started.
No return should be sent without prior written authorization and confirmed return instructions. Unauthorized returns may be refused. Applicable transportation, inspection, handling, restocking, repair, or replacement arrangements will be determined after the request has been evaluated.

Product-specific quotations, proforma invoices, purchase orders, contracts, approved specifications, and written confirmations form the basis of each transaction. If there is any difference between this general ordering guide and a separately signed or confirmed order document, the terms stated in the specific order document will apply.
